The main workflow, step by step
This window follows one booking from a patient's phone to the clinician's day. Pick a step to see the screen behind it. The clinic, the clinicians and the patient are invented for the demonstration.

Who uses it, and what each role can do
A clinic's schedule is shared by people with very different needs and very different rights to see patient information. The roles reflect both.
| Role | Sees | Can do |
|---|---|---|
| Patient | Their own bookings, forms and messages | Book, move, cancel and complete forms |
| Front desk | The calendar for their location, with contact details | Book for patients, check in, move and manage the list |
| Clinician | Their own list and availability | Block time, set preferences and see visit reasons |
| Clinic manager | Calendars, utilization and missed visits by location | Set services, durations, policies and opening hours |
| Administrator | Users, locations and integrations | Manage access and review the audit record |
When the work leaves the usual path
Booking looks simple until a clinician is ill or a patient is late. These are the situations the platform needs clear answers for.
| Situation | What the system does | Who decides |
|---|---|---|
| Slot cancelled at short notice | Offers it to matching waiting list patients | Front desk |
| Patient does not confirm | Flags the booking for a call or release | Front desk |
| Clinician absent | Lists affected visits with ways to move them | Clinic manager |
| Service needs a prior step | Explains the requirement before a time is chosen | Patient |
| Double booking from two channels | Holds a slot while a booking is in progress | No one, it is prevented |
| Repeated missed visits | Applies the clinic's policy, such as a deposit | Clinic manager |
What it connects to
Appointments touch your clinical records, your payments and your messages. What is connected depends on the systems you run and on the rules for patient data in your country.
| System | What moves | Direction |
|---|---|---|
| Practice or records system | Patients, clinicians and appointments | Both ways |
| Payments | Deposits and fees for chargeable services | Both ways |
| Text, email and WhatsApp | Confirmations and reminders patients agreed to | Out of the platform |
| Video visit tool | A link for remote appointments | Out of the platform |
| Calendars | Clinicians' personal calendars, to block busy time | Into the platform |

What to do next
Tell us how many locations and clinicians you have and how patients book today. We reply with questions about your records system, then a scope and a proposal. Start a conversation or book a 30-minute call.
Common questions
Why not use an off-the-shelf booking tool?
For a single clinic with simple services, an existing tool is often the right answer, and we will tell you so. A custom platform fits when you have several locations, rules about rooms and equipment, a records system the tools do not connect to, or a brand experience you want patients to stay inside. Our booking system development page covers the wider subject.
How is patient data protected?
Access is by role, with the least information each role needs, encryption in storage and in transit, and an audit record of who viewed what. Where data is hosted and which legal framework applies depend on your country and your patients. We design to the requirements your data protection adviser sets, and we do not claim a certification on your behalf.
Will it reduce missed appointments?
Reminders, easy rescheduling and a waiting list are the measures clinics generally use against missed visits, and the platform includes all three. How much difference they make for you depends on your patients and your current process. The platform records missed and late-cancelled visits by service and location, so the effect can be measured after launch instead of promised before it.
Does it work with our existing patient records system?
That depends on what the system exposes. Many practice systems offer an interface for appointments and patients, in which case the platform reads and writes through it. Some allow only a calendar feed or nothing at all. We check this at the very start, since it decides whether the platform can be the booking front for your existing system or needs its own calendar.
