Shopify Accounting Integration
Every payout, tracedback to its orders
We connect Shopify to your accounting system so sales, refunds, taxes, fees and payouts are posted to the right accounts, and each bank deposit can be traced back to the orders inside it.
What we build
01Payouts reconciled
02Tax posted correctly
03Posting rules agreed
Finance should be able to pick any deposit on the bank statement and see exactly which orders, refunds and fees produced that amount.
From store sales to a reconciled ledger
- 01Payouts reconciled
- 02Tax posted correctly
- 03Posting rules agreed
Shopify accounting integration turns store activity into accounting entries. Orders, refunds, discounts, shipping income, taxes, gift cards, payment fees and payouts are read from Shopify and posted to your ledger under rules your accountant has approved. We build on Shopify's Admin API, including its payout and transaction data, and on the API of your accounting system, with a reconciliation step between them.
It suits merchants whose bookkeeper rebuilds revenue from exports each period, who sell in several currencies or tax regions, or whose payouts never quite match the sales report. The store and the ledger measure different things. One counts orders when they are placed and the other counts money when it is earned and received. Most of the design work is agreeing how to bridge that gap.

What It Looks Like When It Ships
From Kickoff to Launch
With your accountant we decide posting level, revenue timing, tax treatment by region, the handling of gift cards and deposits, and which clearing accounts sit between sale, payout and bank.
The service is built against a development store and a sandbox ledger, using real past orders including refunds, partial refunds, chargebacks and currency conversions, until test totals agree.
The integration posts to a test company for a full accounting period beside your existing process, and finance compares both sets of figures line by line.
Live posting begins at the start of a period. We stay through the first close, resolve exceptions with finance and hand over the reconciliation reports and runbook.

What buyers ask before they start
If yours is not here, ask us directly. The first conversation is free and useful whether or not we work together.
Book a callOn Shopify, a custom app with read access to orders, refunds and payment payouts. It does not need to change anything in the store. In the accounting system, an API connection authorized by an administrator and limited to creating invoices, journals and payments. Your accounting plan must include API access, which we check against the vendor's current documentation. No banking credentials are involved at any point.
Not necessarily. Posting each order gives full detail but can flood a ledger and reach the accounting system's limits at volume. A daily summary journal per sales channel, with the order detail kept in the integration for drill-down, is often cleaner. We set out both with their consequences for reporting and tax, and your accountant makes the decision. The choice can differ by channel.
Because they measure different moments. A payout contains payments captured on certain days, less refunds, fees, chargebacks and reserves, and arrives later. Sales reports count orders by the date placed. Orders paid through other providers are not in the payout at all. The integration posts sales to a clearing account and clears it as each payout lands, so the difference is always explained.
For a simple store, frequently yes, and we will tell you if one covers your case. They tend to struggle with several currencies, tax across many regions, more than one payment provider, wholesale invoicing or a group with several legal entities. Custom integration is justified when finance spends real time correcting what a standard connector posts, or cannot trace a deposit to its orders.
No. We build the mechanism and your accountant sets the rules. How revenue is recognized, which tax applies in each region and how gift cards or deposits are treated are professional judgments that belong to your finance team or advisers. Our role is to implement those decisions precisely, document them in the mapping table and make every posted figure traceable to its source.
