HubSpot Custom Integration

Your systems, joinedto your CRM

We connect HubSpot to the systems it does not reach by itself, such as your own product, an ERP or an internal database, so sales and service work from current facts.

01Our Approach

HubSpot is where your team talks to customers, so it should already know what those customers use, owe and ordered.

02Overview

HubSpot connected to your own systems

  • 01Objects mapped
  • 02Limits respected
  • 03Deals to orders

HubSpot custom integration links your HubSpot account to software that has no ready connector, or whose connector does too little. Typical cases are product usage from your own application, orders and invoices from an ERP, or records from an industry system. We build on HubSpot's CRM APIs, webhooks and batch endpoints, with a service that maps objects, respects rate limits and queues what cannot be delivered.

It suits teams whose representatives switch screens to answer simple questions, whose quotes are retyped into an ERP after a deal closes or whose lifecycle emails need data HubSpot never receives. The modelling matters more than the plumbing. Deciding whether an order is a deal, a custom object or a property on the company determines which reports and automations your team can build afterwards.

03What We Do

Capabilities, End to End

01
Object and property mapping

Contacts, companies, deals, line items, tickets and custom objects are mapped to your system's records, with associations between them defined deliberately instead of left to defaults.

02
System of record

Each property has one owner. The ERP owns prices and invoice status, HubSpot owns the deal stage and the integration refuses edits made on the wrong side.

03
Scoped authentication

Access uses the credential type HubSpot currently recommends for in-account integrations, granted only the scopes needed, with keys rotated and held in a secrets store.

04
Failed record queue

A record HubSpot rejects, perhaps because a required property is empty or an option is unknown, waits with the error returned and can be fixed and replayed.

05
Rate limit handling

Writes are batched, spaced to stay inside your account's allowance and retried after a limit response, with a key that prevents duplicate records on retry.

06
Usage and health monitoring

A dashboard shows daily API usage against the allowance, sync delay and failures, and alerts someone before automations begin acting on stale data.

06How It Runs

From Kickoff to Launch

01
Model the data
02
Agree ownership
03
Build in sandbox
04
Release in stages
01
Model the data

With sales operations we decide how external records should appear in HubSpot, which objects and associations to use and which reports and workflows the result has to support.

02
Agree ownership

For every property we record which system may change it, how conflicts are resolved and what happens when a record is merged or deleted on either side.

03
Build in sandbox

The service is developed against a HubSpot test account and a test copy of your system, including a backfill, bursts of volume and deliberately broken records.

04
Release in stages

Read-only data appears in HubSpot first. Writes back to your system follow once the team trusts the figures, and workflows that depend on them are switched on last.

08Who It Is For

Built for Teams Like Yours

FLAGSHIP
HubSpot is missing the facts your team needs

Account managers ask engineering who is active. Closed deals are typed again into the ERP as orders. Finance emails sales about unpaid invoices. A marketplace connector exists for your system but covers only contacts and ignores everything that matters.

What buyers ask before they start

If yours is not here, ask us directly. The first conversation is free and useful whether or not we work together.

An account administrator must authorize the integration and choose its scopes. API allowances vary by subscription tier, and some features, including custom objects, are limited to higher tiers. HubSpot has also been changing how in-account integrations are created and authenticated, so we check its current developer documentation at the start of each project and use the method it recommends at that time.

Yes, and it is one of the most useful flows. When a deal reaches an agreed stage, the integration validates it, creates the customer if needed and creates the order with its line items in the ERP. The order number, delivery status and invoice state then return to the deal. Products and prices are synchronized from the ERP so that quotes use valid items.

When it already moves the objects you care about in the direction you need. Connectors are quick to install and maintained by someone else. We recommend one whenever it fits. Custom work makes sense when the connector ignores custom objects, cannot express your ownership rules, syncs too slowly or does not exist at all, which is usual for software you built yourselves.

By design instead of by luck. Changes are grouped into batch calls, non-urgent updates are spread through the day and search requests, which have a stricter limit, are kept to a minimum by storing identifiers. The service reads the limit information HubSpot returns and slows itself before a refusal. A dashboard shows consumption, so a new workflow that doubles traffic is noticed early.

It depends on what you want to do with it. A property is simplest and works for a single value such as plan or last login. A custom object suits things a company has many of, like subscriptions or shipments, and supports its own pipelines and reports. Deals fit revenue you forecast. We test the options against the reports and workflows you actually need.
