WooCommerce Accounting Integration
SALES, FEESAND TAX,RECONCILED
We connect WooCommerce and its payment gateways to your accounting system, so sales, refunds, tax and fees post automatically and every provider settlement can be matched to the bank.
WooCommerce AccountingWhat we build
WooCommerce records the sale, the payment gateway holds the money, and the ledger has to tell one true story from both.
WooCommerce sales posted and reconciled
- 01Gateway fees captured
- 02Tax by region
- 03Settlements matched
WooCommerce accounting integration reads orders, refunds, taxes, shipping income and coupons from your store and posts them to your accounting system under rules your accountant approves. Because WooCommerce does not process payments itself, fees and settlement dates come from each gateway you use. We read both sources, the store through its REST API and the gateways through theirs, and reconcile them before posting.
It suits stores whose bookkeeping is rebuilt from exports, who take payment through more than one provider or who sell across tax regions with a tax plugin. Bank transfers, cash on delivery and manual orders add entries no gateway report contains. We agree a treatment for each payment method, so the clearing accounts empty as money arrives and anything left over is a real question.

What It Looks Like When It Ships
From Kickoff to Launch
With your accountant we choose invoice or summary posting, define revenue timing and tax handling, and decide how each payment method, including offline ones, clears through the ledger.
The service is built against a staging site, gateway test accounts and a sandbox ledger, and fed with past orders covering refunds, disputes, coupons and mixed tax rates.
For one full accounting period the integration posts to a test company while your current process continues, and finance then reviews the differences between the two.
Live posting begins on the first day of a period. We support the first close, clear the exception queue with finance and hand over reports and the runbook.

What buyers ask before they start
If yours is not here, ask us directly. The first conversation is free and useful whether or not we work together.
Book a callRead-only REST API keys on the store. For each payment gateway, a restricted key or reporting permission that exposes payments, refunds, fees and settlements. In the accounting system, an API connection that an administrator authorizes, on a plan that includes API access. We verify each against the provider's current documentation and write the permissions down. Bank logins and card data are never requested.
Because WooCommerce knows that an order was paid but not what the provider charged or when it sent the money. Fees, disputes, currency conversion and settlement dates live in the gateway. Without them, fees are guessed and deposits cannot be matched. Reading the gateway directly lets the integration post exact fees and clear each settlement against the orders it contains.
Each gets its own clearing account and its own rule. A cash on delivery order is posted as a receivable from the courier until the courier's remittance arrives, when the batch is matched. A bank transfer stays open until finance confirms receipt, in the store or in the ledger. These methods cause most unexplained balances, so we design them with particular care.
Some do part of it well. Plugins for popular accounting packages can create an invoice per order. They are weaker on gateway fees, multiple providers, settlement matching and summary posting, and they work inside WordPress. If a plugin already suits you, we say so. Custom work is justified when finance still spends significant time correcting or reconciling what the plugin produced.
Yes. Tax plugins and tax services write their calculations onto each order, and we read the result they stored instead of recalculating it. Each rate or jurisdiction is mapped to a tax code in the ledger. Which tax applies and how it is reported are decisions for your accountant. Our part is to carry those figures across without rounding differences.
