AI Renewal and Retention Agent Development
Renewals seen in good time
An agent for subscriptions and contracts that renew.
An agent for subscriptions and contracts that renew. It watches the dates, gathers what happened on the account since the last renewal, prepares the conversation your team should have, and routes a cancellation request to the person who can do something about it.
A renewal is lost months before the date. The customer had three unresolved tickets, stopped using half the product and was never asked how things were going. Then the renewal email arrives on a timer, the same one everybody gets, and the cancellation follows. The information that would have changed the outcome was in the business all along, in systems nobody read together.
This page describes a workflow we propose to build as a custom project. It does not exist as software yet. It would reuse the customer-record handling and handover from our demonstrations. Reading contract dates, combining usage and service history, and the renewal workflow itself are not built.
Six jobs it carries through
01Renewal calendar
Tracks every renewal and notice date.
- Reads dates from contracts or billing
- Calculates notice deadlines
- Starts each renewal at your lead time
- Flags contracts with missing dates
02Account context
Gathers what happened since the last renewal.
- Open and recent tickets
- Usage or order trend, where you hold it
- Changes in contacts
- Past renewal conversations
03Renewal brief
Prepares the conversation for the account owner.
- What went well and what did not
- Open issues to resolve first
- The terms due to renew
- Questions worth asking
04Renewal notices
Sends the notices your terms require.
- Your approved wording
- At the time your terms set
- To the contact on record
- With proof that it was sent
05Cancellation routing
Gets a cancellation request to the right person fast.
- Recognises the request in any channel
- Confirms the notice terms that apply
- Routes to the named owner
- Tells the customer what happens next
06Follow-through
Keeps the renewal moving.
- Tracks what was agreed
- Reminds the owner of open steps
- Records the outcome and the reason
- Updates the next renewal date
From the First Signal to the Record
An example of one case, in 6 steps. The same steps play in the picture at the top of this page.
Lead time reached
A contract renews in ninety days. Your lead time starts the renewal work today.
Context gathered
The account has two open tickets and its usage fell after a key contact left.
Brief prepared
The account owner receives a one-page brief with the issues to resolve first.
Notice sent
The renewal notice your terms require goes out, in your wording, to the contact on record.
Request routed
The customer replies asking to cancel. The request reaches the account owner the same day.
Outcome recorded
The owner resolves the tickets, the customer renews, and the reason is kept for next year.
Walk One Real Case Through It
Thirty minutes, one case from your own process. We map it against the workflow on this page and tell you plainly what can be reused from our demonstrations and what has to be built for your systems.
Six Things That Slow This Down
Renewals noticed too late
The date is found the week the contract ends.
The same email to everyone
A customer with open complaints gets the standard renewal notice.
Context spread across tools
Billing, support and usage each know something, and nobody sees all three.
Cancellations handled like tickets
A customer asking to cancel waits in the general queue.
Discounts as the only answer
The offer is cheaper, when the problem was an unresolved issue.
Terms nobody checked
The notice period passed and the contract renewed against the customer's wishes.
It Prepares the Renewal, Your Team Has the Conversation
The agent makes sure no renewal arrives unnoticed and no account owner goes into the conversation blind. It does not negotiate, change prices or decide what to offer. Those belong to the person who owns the account.
A cancellation request is treated as urgent and routed, not deflected. Contract terms are quoted exactly as written, and the notice the customer is entitled to is sent on time.
- Dates from your contracts
- Notices sent as your terms require
- Signals reported, not predictions
- Offers decided by a person
- Cancellations routed, never blocked
- The reason for every outcome recorded
The Systems Around It
The systems named here are the kind this agent works with. Which ones it connects to in your case is settled in the scope.
Contracts and billing
- Your subscription, billing or contract system
CRM
- Accounts, contacts and owners
Support
- Tickets and complaints per account
Usage
- Product usage or order data, where it exists
Messaging
- Email and the channels your customers use
Terms
- Notice periods and renewal conditions, as written
Straight Answers
No. It gathers the signals a careful account manager would look at, such as open issues, falling usage and a contact who left, and shows them with their sources. Deciding what they mean, and what to do, stays with the account owner.
The health agent watches accounts continuously for signs of trouble. This agent is tied to a date: it starts at your lead time before each renewal and runs the steps to the outcome. The health agent's signals are one of its inputs.
Insurance renewal has its own regulated documents, quotations and disclosure duties. This agent is for subscriptions and service contracts in general. Where they overlap is the calendar and the notice.
Not as software yet. This page describes a proposed workflow. It would reuse the customer-record handling and handover from our demonstrations. Reading contract dates, combining usage and service history, and the renewal workflow itself are not built. A project starts by mapping your process, then proving the first steps on test data before anything touches a live system.
List Every Renewal in the Next Six Months
If that list is hard to produce, that is the first finding. We will map what your team would want to know before each one.
