Instagram DM AI Agent Development
Direct messages, handled like a front desk
An agent for the messages your Instagram business account receives.
An agent for the messages your Instagram business account receives. It answers product and service questions from information you approved, turns real enquiries into CRM records with an owner, and hands booking requests to your team with what the person asked for.
Instagram is where many customers ask first. Is this in stock, what does it cost, can I come on Saturday. The messages arrive at all hours, mixed with reactions, story replies and spam, and the answer usually depends on a system the inbox cannot see. Replies slip, and the enquiry that mattered is found two days later.
What exists today is a working demonstration on test data, which we can walk you through. It shows a signed message answered from approved information, a repeated delivery answered once, a booking request passed to the team and an enquiry recorded in a CRM with its owner. Connecting it to your own systems is the project.
Six jobs it carries through
01Approved answers
Answers product and service questions only from information you approved.
- Reads the question in English or Arabic
- Finds the approved answer and its source
- Says so when there is no approved answer
- Offers a person when it cannot help
02Enquiry qualification
Collects what your team needs before a lead is worth a call.
- Asks for missing details one at a time
- Applies your written criteria
- Keeps the person's own words as evidence
- Stops asking when the criteria are met
03CRM record and owner
Writes the enquiry to your CRM and routes it.
- Checks for an existing contact first
- Creates or updates one record
- Assigns the owner your routing names
- Marks Instagram as the source
04Booking handoff
Passes a booking request to your team with its details.
- Recognises a request to book, move or cancel
- Hands over what was asked and when
- Tells the person who will confirm
- Books directly only if you enable it
05Message hygiene
Ignores what is not a question.
- Skips the account's own messages
- Skips reactions and read receipts
- Recognises a message delivered twice
- Leaves images and voice notes for a person
06Handover with context
Gives the conversation to a person with what was said and done.
- On request at any point
- When there is no approved answer
- When a system cannot be reached
- After turns without progress
How One Request Moves Through
An example of one case, in 6 steps. The same steps play in the picture at the top of this page.
Message received
A person writes to your business account. The message's signature is checked before it is read.
Question answered
"Do you deliver on Fridays?" is answered from your approved information, with the source recorded.
Enquiry qualified
"We need this for an event next month" starts your qualification questions, asked one at a time.
Record written
The contact is created or updated in your CRM, with its owner and Instagram as the source.
Booking passed on
"Can I come tomorrow at three?" goes to your team's queue with the request and the conversation so far.
Closed or handed over
The person is told what happens next, and a team member can step in at any point.
Where the Time Goes Now
Messages buried in the inbox
Enquiries sit between reactions, story replies and requests from people who do not follow you.
Answers that depend on a system
Price, stock and availability live in software the Instagram inbox cannot read.
The same enquiry answered twice
Platforms redeliver messages, and two people on the team reply to the same person.
No record after the chat
A good conversation ends without a contact, an owner or a next step in the CRM.
Replying too late
Instagram lets a business respond for a limited time after a message. After that the thread goes quiet.
An account is not an identity
A profile name proves nothing, so order and account details cannot be shared on the strength of it.
Walk One Real Case Through It
Thirty minutes, one case from your own process. We map it against the workflow on this page and tell you plainly what can be reused from our demonstrations and what has to be built for your systems.
Instagram's Rules and Yours Decide What It Sends
The agent replies only inside the time Meta allows after a person's message, only to people who wrote first, and only from information you approved. It serves a professional account through Meta's official messaging interface. It does not automate a browser or a personal account.
Order and account details are not shared on the strength of an Instagram profile. Where proof is needed, it asks for the detail you choose.
- Replies only from approved information
- Official Meta interface only
- No reply outside the allowed window
- Booking with your team by default
- Proof before account details
- A record of every action
Where It Connects
The systems named here are the kind this agent works with. Which ones it connects to in your case is settled in the scope.
Messaging
- Instagram messaging for professional accounts
- Meta app with messaging permission
CRM
- HubSpot
- Zoho
- Salesforce
- or a custom CRM
Knowledge
- Approved product and service information
- policies
- opening hours
Booking
- Your team's queue
- or a calendar if you enable direct booking
Catalogue
- Product list and availability from your shop system
Handover
- Help desk
- shared inbox
- a named queue per reason
Asked Before the First Call
What does Instagram require before an agent can be connected?
An Instagram professional account, a Meta app with the messaging permissions, and Meta's review if the app serves accounts you do not manage. Meta also sets how long after a message a business may respond and how long a message may be. We check the current rules against Meta's documentation before a project starts.
How is this different from the WhatsApp agent?
The conversation logic is shared. The channel is not. On Instagram the person is known by an account, not a phone number, so identity checks ask for something else. Booking goes to your team unless you enable it, and many incoming events are reactions or story replies that should not be answered at all.
Can it reply to comments, story mentions or send promotions?
Not in this scope. It handles direct messages that people send you. Comments, mentions and promotional messaging have their own platform rules and are a separate piece of work if you need them.
What exists today?
A working demonstration on test data. It shows a signed message answered from approved information, a repeated delivery answered once, a booking request passed to the team and an enquiry recorded in a CRM with its owner. It is not connected to live systems, so the project is the integration with your own systems, your rules and a controlled pilot.
Start With the Enquiries You Miss Today
Show us a week of your Instagram messages. We will sort them into what an agent can answer, what needs your systems and what should always reach a person.
