AI Employee Onboarding Agent Development
Ready on the first morning
An agent that makes a new colleague's first day work.
An agent that makes a new colleague's first day work. It runs the checklist for their role across HR, IT, facilities and their manager, collects the documents, raises the access requests for approval and tells someone when a step is late.
A new joiner's first morning says a lot about a company. Too often there is no laptop, no account and no plan, because onboarding crosses four departments and belongs to none. HR sent the contract, IT was never told the start date, and the manager assumed someone else had arranged the first week. Each step is small. Nobody owns the list.
This page describes a workflow we propose to build as a custom project. It does not exist as software yet. It would reuse the approval routing from our IT helpdesk demonstration, where access requests are opened for approval and never carried out by the agent, and the knowledge answers from our internal knowledge demonstration. Onboarding plans by role, document intake and cross-team tracking are not built.
Six jobs it carries through
01Role-based plan
Creates the plan for this joiner.
- Chooses the template for role and location
- Tasks for HR, IT, facilities and manager
- Dates worked back from the start date
- An owner for every task
02Document intake
Collects what HR needs before day one.
- Requests each document once
- Checks that it is complete and legible
- Stores it where your process requires
- Reminds on your schedule
03Access requests
Raises the access the role needs, for approval.
- Uses the role's standard access list
- One request per system
- Approval by the named owner
- Nothing beyond the standard list without a reason
04Equipment and workspace
Makes sure the practical things are ready.
- Laptop and equipment order
- Building pass and desk
- Delivery for remote joiners
- Confirmed before the start date
05First-week guidance
Guides the joiner through the first days.
- A welcome with the plan
- Answers from your handbook
- Training to complete and by when
- Their contacts for each topic
06Progress and offboarding
Tracks completion, and the reverse process.
- What is done and what is late
- Reminders to task owners
- A report to HR and the manager
- The same care for leavers' access removal
From the First Signal to the Record
An example of one case, in 6 steps. The same steps play in the picture at the top of this page.
Offer accepted
A new engineer accepts an offer with a start date three weeks away.
Plan created
The engineering onboarding plan is created, with tasks for HR, IT, facilities and the manager.
Documents collected
The joiner is asked once for the required documents, and each is checked on arrival.
Access requested
The role's standard access list is raised as requests for each system owner to approve.
Readiness checked
Five days before the start, the laptop order is still open. IT's lead is told.
First week guided
On day one the joiner receives the week's plan and can ask the agent where things are.
Where the Time Goes Now
No laptop on day one
IT learned about the start date that morning.
Four departments, no owner
Each assumes another has it in hand.
Documents chased repeatedly
The same ID copy is requested by three people.
Access copied from a colleague
A new joiner inherits permissions nobody reviewed.
The same plan for every role
An engineer and a salesperson get the same first week.
Leavers forgotten
Accounts stay open long after someone has gone.
Walk One Real Case Through It
Thirty minutes, one case from your own process. We map it against the workflow on this page and tell you plainly what can be reused from our demonstrations and what has to be built for your systems.
It Coordinates the Checklist and Grants Nothing
The agent's work is coordination: the right tasks, to the right owners, by the right dates, with a nudge when one slips. It raises access requests from the role's standard list and they are approved by the people who own each system. It cannot create an account or assign a permission.
Onboarding handles identity documents and contract data. They are stored where your HR process requires, and nobody outside that process sees them.
- Plans from your role templates
- Each document requested once
- Access requested, never granted
- Late tasks escalated before day one
- Personal documents kept in your HR system
- Leavers' access tracked to removal
The Systems Around It
The systems named here are the kind this agent works with. Which ones it connects to in your case is settled in the scope.
HR system
- Workday
- BambooHR
- Personio
- or your HR platform
Identity and access
- Microsoft Entra ID
- Okta
- Google Workspace
IT service
- Your ticketing and device management tools
Facilities
- Building access and desk booking
Knowledge
- Handbook, training catalogue and team pages
Messaging
- Email, Slack or Microsoft Teams
Straight Answers
How is this different from the customer onboarding agent?
Customer onboarding gets a client working with your product. This agent gets a colleague working in your company. Both run a plan with tasks on several sides, but the systems here are HR, identity and IT, and the data is personal.
How is this different from the IT helpdesk agent?
The helpdesk reacts to issues employees report. This agent starts before the employee exists in your systems, and one of its outputs is a set of access requests that the helpdesk's approval queues then handle.
Can it create accounts automatically?
It raises requests against the role's standard access list, and your identity owners approve them. Automating the creation after approval is possible through your identity system's own workflow. The decision and the approval stay with your people.
What exists today?
Not as software yet. This page describes a proposed workflow. It would reuse the approval routing from our IT helpdesk demonstration, where access requests are opened for approval and never carried out by the agent, and the knowledge answers from our internal knowledge demonstration. Onboarding plans by role, document intake and cross-team tracking are not built. A project starts by mapping your process, then proving the first steps on test data before anything touches a live system.
Walk Through Your Last Three Starters
For each, list what was ready on day one and what was not. The pattern shows which handoff needs an owner.
