One record per customer
An agent that keeps a CRM usable.
An agent that keeps a CRM usable. It finds duplicate contacts and companies, records that contradict each other and data nobody has touched in years, proposes the merge or the fix with its reasons, and changes nothing until a person approves.
A CRM decays quietly. The same person exists three times with three owners. A company is spelled four ways. Half the deals have no next step and a close date in the past. Nobody decides to let this happen. It accumulates one import and one hurried entry at a time, until reports cannot be trusted and reps keep their real notes somewhere else.
Parts of this workflow run today in our demonstrations on test data. Checking for an existing contact before writing, and updating it instead of creating a duplicate, runs today in our lead qualification demonstration on test data. Reviewing an existing CRM, suggesting merges and finding stale records are not built. The rest of what this page describes is a proposal that we build with you.
Six jobs it carries through
01Duplicate detection
Finds records that are the same entity.
- Matches on email, phone and domain
- Scores how certain each match is
- Explains why two records match
- Leaves doubtful pairs for a person
02Merge proposals
Proposes how to merge, without losing anything.
- Chooses which value survives, with a reason
- Keeps all notes and activities
- Shows the result before it happens
- Records what the merge changed
03Consistency checks
Finds records that contradict themselves.
- Country and phone prefix that disagree
- A contact on a closed company
- A deal stage with no activity
- Required fields left empty
04Stale record review
Finds what has gone quiet.
- Contacts with no activity for your period
- Open deals past their close date
- Tasks overdue for months
- Owners who have left
05Supported enrichment
Fills gaps from sources you trust.
- Only fields you list
- Only from sources you approved
- The source recorded with the value
- Existing values never overwritten
06Entry-point prevention
Stops new duplicates at the door.
- Checks for a match before a record is created
- Updates the existing record
- Applies your naming rules
- Works for forms, imports and agents
One Case, Start to Finish
An example of one case, in 6 steps. The same steps play in the picture at the top of this page.
Scan run
The weekly scan compares contacts and companies across the CRM.
Duplicates found
Three records for one person are grouped, matched on email and mobile number.
Merge proposed
The proposal keeps the newest job title, all three sets of notes and the most active owner.
Reviewed
The CRM administrator approves most proposals and rejects one, where two people share an address.
Applied
Approved merges are carried out, each with a record of what changed.
Report sent
The team sees what was merged, what is stale and which fields are most often empty.
Where the Time Goes Now
One person, three records
Each has a different owner and a different last-contact date.
Merges that destroy history
Two records are merged and the notes on one are lost.
Fields filled by guesswork
An enrichment tool writes an industry that is wrong.
Deals frozen in time
Open opportunities with close dates from last year.
Reports nobody believes
The pipeline total changes depending on who exports it.
Clean-up as a yearly project
A week of manual work that is out of date a month later.
Walk One Real Case Through It
Thirty minutes, one case from your own process. We map it against the workflow on this page and tell you plainly what can be reused from our demonstrations and what has to be built for your systems.
It Proposes, a Person Approves, and Every Change Can Be Traced
A wrong merge is hard to undo, so the agent never merges on its own judgement. It shows which records it believes are the same, why, and exactly what the merged record would contain. A person approves or rejects, and every applied change is logged with its before and after.
It fills an empty field only from a source you approved, records that source, and never overwrites a value someone entered.
- Matches explained, not just scored
- No merge without approval
- Notes and history always kept
- Sources recorded for filled fields
- Human-entered values never overwritten
- A before and after for every change
What It Reads and Writes
The systems named here are the kind this agent works with. Which ones it connects to in your case is settled in the scope.

What Buyers Ask First
Does it merge records automatically?
Not by default. It proposes merges with its reasons and a person approves them. Many teams later allow automatic merging for exact matches on email, which is low risk. That is your choice, and it applies only to the match types you name.
How is this different from the lead qualification agent?
Lead qualification handles one new enquiry and writes one clean record. This agent looks after the whole database over time: finding duplicates that already exist, contradictions and records that went stale.
How is this different from a data enrichment service?
An enrichment service adds data. This agent's main work is removing problems: duplicates, contradictions and dead records. It adds a value only for fields you list, from sources you approved, and it records where each value came from.
What exists today?
Some of it. Checking for an existing contact before writing, and updating it instead of creating a duplicate, runs today in our lead qualification demonstration on test data. Reviewing an existing CRM, suggesting merges and finding stale records are not built. The remaining steps on this page are a proposed workflow. We would build them with you and prove each one on test data before it touches a live system.
Start With a Read-Only Scan
It changes nothing and shows how many duplicates, contradictions and stale records the CRM holds today. That number usually settles the question.
