Appointment Booking Agent

The right slot, booked once

A booking agent connected to your calendar.

Area of workCommunication and front desk
Status todayA working demonstration on test data. It is not connected to live systems yet.
How it is builtCustom development around your own systems, with a named person behind every decision the agent does not take.

A booking agent connected to your calendar. It checks real availability, states the date, time and time zone before anything is booked, confirms only when your system confirms, and handles rescheduling and cancellation inside the rules you set.

Booking by message or phone looks simple until two people want the same slot, a date can be read two ways, or the calendar is briefly unavailable. Those are the moments that produce double bookings and no-shows.

This agent is built around them. It is the same booking module our WhatsApp and voice agents use, so it behaves identically on every channel. What exists today is a working demonstration on test data, which we can walk you through. Connecting it to your own systems is the project.

How it differs from related agents: this is the booking workflow on its own, usable from any channel. The property viewing and clinic intake agents add what those sectors need around a booking, such as access arrangements or administrative intake.

02The gap

Six Things That Slow This Down

01

Slots taken in between

Someone else books the time between the offer and the confirmation.

02

Dates with two readings

"9/10" is the ninth of October or the tenth of September, depending on who writes it.

03

Time zones left unsaid

A time without a zone is a missed appointment waiting to happen.

04

Double bookings on retry

A request sent twice must not become two reservations.

05

Late changes

A cancellation an hour before needs your policy, not an automatic yes.

06

Confirmations that were not true

"You're booked" was sent, but the calendar never saved it.

03Workflow

One Case, Start to Finish

An example of one case, in 6 steps. The same steps play in the picture at the top of this page.

01

Request received

"Book a check-up tomorrow at 3pm" arrives by message or call.

02

Date resolved

"Tomorrow at 3pm" becomes a full date and time in your business's time zone.

03

Availability checked

The calendar is asked for that day. If the time is free, it is held in the conversation, not yet booked.

04

Details completed

The agent asks for what is missing, such as the name for the booking.

05

Confirmation given

After the customer agrees to the stated date, time and zone, the booking is written and its reference is quoted.

06

Conflict recovered

If someone took the slot in the meantime, the agent says so and offers the nearest free times.

What We Need to Scope This

  1. The process as it runs today, in a few lines.
  2. The systems it touches, for example calendar and booking, channels, CRM, reminders.
  3. Rough monthly volume, and who approves what.

04Booking agent

Six jobs it carries through

01

Live availability

Offers only times your calendar lists as free.

  • Asks the calendar for the requested day
  • Offers the nearest free times when one is taken
  • Respects your booking window
  • Never offers from memory
Works inCalendar or booking system
Where it stopsAvailability is always the system's, not the agent's.
02

Explicit date and time

Resolves what the customer wrote and states it in full.

  • Words, numbers and Arabic numerals
  • Asks when a date has two real readings
  • Always states the time zone
  • Reads back before booking
Works inBusiness time zone and hours
Where it stopsAmbiguity is asked about, never guessed.
03

Confirmed booking

Writes the booking once and quotes the system's reference.

  • A key prevents duplicates
  • Retries safely after a timeout
  • Confirms only on success
  • Records the booking's own reference
Works inCalendar or booking system
Where it stopsNo confirmation without the system's answer.
04

Reschedule and cancel

Changes a booking within your rules.

  • Finds the booking by the number that made it
  • Books the new time before cancelling the old
  • Applies your cancellation window
  • Asks before cancelling
Works inCalendar or booking system
Where it stopsChanges outside your policy go to your team.
05

Conflict handling

Recovers when a slot disappears.

  • Detects the conflict at the moment of booking
  • Looks up fresh availability
  • Offers what is free now
  • Does not re-offer the lost slot
Works inCalendar or booking system
Where it stopsThe customer is told what happened.
06

Exception handover

Passes failures to your team with the details.

  • Calendar outage
  • Booking the system refuses
  • Late cancellation requests
  • Repeated misunderstanding
Works inTeam inbox or reception
Where it stopsA person finishes what the agent could not.
05Operating boundaries

A Confirmation Means the System Said Yes

Every confirmation repeats what your calendar returned and quotes its reference. If the write fails, the customer is told that nothing was booked and your team takes over.

Only the number that made a booking can change it, and your cancellation window is applied the same way every time.

  • Availability from the live calendar
  • Time zone stated in every time
  • One booking per confirmation
  • Your cancellation rules applied
  • Only the booker can change a booking
  • Handover on any failure

07Questions

What Buyers Ask First

Access to the calendar or booking system you use, your services and their durations, your booking and cancellation rules, and the channels customers book through. We start against a test calendar.

You do. The code, the configuration and the accounts it runs under are yours, in your name. Support after launch is agreed with the project: we can keep running and extending it with you, or hand it to your team with documentation.

Running costs come from three places: the language model, which is billed by usage; the channel or provider, which has its own fees; and hosting and monitoring. Calendar and booking platforms may charge for API access on some plans. We estimate these from your real volumes before anything is built, and we do not publish a price list because the figures depend on those volumes.

A working demonstration on test data: a booking confirmed against a calendar, a slot taken in between, an ambiguous date, a timed-out request that does not double-book, and cancellation inside and outside the window. It reads dates and times in English and Arabic, including Arabic numerals; other languages are tested per project.
