WooCommerce CRM Integration

We connect WooCommerce to your CRM so every order, refund and newsletter choice appears against the right contact, including the many shoppers who check out as guests and never create an account.

01Our Approach

Many of the people who buy from a WooCommerce store never register, yet each of them is a customer your CRM should recognize.

02Overview

WooCommerce buyers known to your CRM

WooCommerce CRM integration copies customers, orders, refunds, coupons used and marketing choices from your store into your CRM, and can return fields such as customer group for pricing. We build it on the WooCommerce REST API and webhooks and on the CRM's API, with a service outside WordPress that matches each buyer to an existing contact before anything is written.

It suits stores where sales or support work in a CRM that knows nothing of purchases, and where marketing still uploads lists. WooCommerce allows guest checkout, so the same person can appear under several emails and no account. Form plugins, membership plugins and subscription plugins each store customer details differently. We map those sources into one picture and show you every assumption made.

03What We Do

Capabilities, End to End

01
Customer and order mapping

Registered customers, guest orders, billing and shipping details, order lines, coupons and subscription status are mapped to contacts, companies and deals or orders in the CRM.

02
Guest matching

Orders without an account are matched to contacts by email and phone under agreed rules, and doubtful matches are listed for a person to confirm.

03
One-way and two-way fields

Purchase facts travel from store to CRM only. A small set, such as wholesale group or account manager, may travel back, and each is listed in the mapping.

04
Keys and credentials

Read-only REST keys cover most of the work. Write permission is added only for fields the CRM returns, and CRM credentials are scoped to the objects involved.

05
Error queue and retries

Records refused by the CRM, for instance through a missing required field, are held with the reason. Retries are spaced out and cannot create a second contact.

06
Delivery monitoring

The service confirms that store webhooks remain active, sweeps for orders they missed and reports usage against the CRM's API allowance.

06How It Runs

From Kickoff to Launch

01
Trace the data
02
Define matching

04
Launch and tune
01
Trace the data

We list every plugin that collects customer details or changes orders, see how your teams use the CRM and agree where purchase history should appear for them.

02
Define matching

Rules for registered users, guests, shared addresses and business buyers are written and tested against an export of real orders, and the expected merges are reviewed with you.

03
Build and backfill

The service is built against a staging site and a CRM sandbox, historical orders are loaded in a trial run and the team checks contacts they know well.

04
Launch and tune

Live synchronization starts for every order, CRM automations based on purchases are enabled gradually and the review list is watched closely until uncertain matches become rare.

08Who It Is For

Built for Teams Like Yours

FLAGSHIP
Your CRM and your store hold different customers

The CRM is full of leads with no purchases attached, and the store is full of buyers the sales team has never seen. Segments are built by exporting orders to a spreadsheet. A repeat customer who checks out as a guest looks new every time.

What buyers ask before they start

If yours is not here, ask us directly. The first conversation is free and useful whether or not we work together.

REST API keys for a dedicated WordPress user, HTTPS on the site and hosting that lets API requests through. In the CRM, an integration credential with access to contacts and the objects that will hold orders. Higher API allowances and custom objects depend on the CRM subscription. We confirm these against the vendor's current documentation, and we need a staging site to test against safely.

It may be. Vendor plugins usually sync contacts and basic orders well. They commonly fall short with guest checkout matching, subscription status, wholesale roles or data added by other plugins, and they run inside WordPress. We review what the plugin covers. If the gap is small we extend it. If it is large, a separate service gives more control.

Each guest order is compared with existing contacts using the email, then the phone number and name. A clear match attaches the order to that contact. A partial match goes to a review list. No match creates a new contact marked as a guest buyer. Over time most repeat guests are joined to a single record, and the report shows how many were.

Yes, when the store uses a role or group for pricing. The CRM becomes the place where an account is approved for wholesale terms, and the integration writes that group back to the customer in WooCommerce. This is one of the few fields we allow to travel in that direction, and it is logged every time because it changes what a buyer pays.

It should strengthen them. Marketing choices are copied with their source and date, and a withdrawal made in either system reaches the other promptly. Requests to delete a person's data can be passed along too. The legal basis for contacting people and the wording shown at checkout remain your responsibility, and we suggest your privacy adviser reviews the final data map.
