AI Workflow Exception Agent Development
Failed records, explained and routed
An agent for the things that fall between systems.
An agent for the things that fall between systems. When an order fails to reach the warehouse, an invoice is stuck in a queue or a record arrives half empty, it gathers the evidence, works out which known cause fits and routes the fix to the person who owns it.
Automated processes fail at the joins. The integration ran, and one record in two hundred did not arrive. Nobody is alerted, because nothing crashed. A customer notices a week later. Finding out what happened means reading logs in three systems, and the people who can read each of them sit in different teams.
This page describes a workflow we propose to build as a custom project. It does not exist as software yet. It would reuse the action log that every one of our demonstrations keeps, in which each system call is recorded with its result and retries, and the handover with context. Reading other systems' logs, matching exceptions to known causes and routing fixes are not built.
Six Things That Slow This Down
Failures nobody sees
A record silently fails to sync and nothing reports it.
Evidence in three places
Each system holds a piece, and no one reads all three.
The same fault, investigated again
A known cause is rediscovered every month.
No owner for the gap
The fault is between two teams and belongs to neither.
Retries that make it worse
A blind retry creates a duplicate order.
Found by the customer
The first alert is a complaint.
How One Request Moves Through
An example of one case, in 6 steps. The same steps play in the picture at the top of this page.
Mismatch found
The nightly comparison shows three orders that left the shop and never reached the warehouse.
Evidence gathered
The agent collects the three orders, the integration's log lines and the warehouse's rejections.
Cause matched
All three were rejected for a missing postcode, which is a known pattern with a runbook.
Safe step taken
The runbook does not allow a retry until the data is fixed, so nothing is retried.
Routed
A ticket goes to the team that owns order data, with the three orders and the cause.
Followed up
Once the postcodes are fixed, the orders are sent again with their original keys.
What We Need to Scope This
- The process as it runs today, in a few lines.
- The systems it touches, for example integration platform, systems of record, logs, runbooks.
- Rough monthly volume, and who approves what.
Six jobs it carries through
Exception detection
Notices what did not complete.
- Records that left one system and did not arrive
- Items stuck in a queue beyond your limit
- Required fields that arrived empty
- Counts that do not reconcile
Evidence gathering
Collects what is needed to understand it.
- The record on both sides
- The log entries around the failure
- Earlier attempts and their results
- Related exceptions
Cause matching
Compares with known causes.
- Your catalogue of known failure patterns
- The runbook for each
- A confidence note
- "Unknown" when nothing fits
Safe retry
Retries only where it is safe.
- Only steps marked safe to repeat
- With the same key, so nothing is duplicated
- Once, then stops
- The result recorded
Routing
Sends the fix to its owner.
- The team that owns the failing step
- The evidence attached
- The affected records listed
- The business impact stated
Pattern report
Shows what keeps failing.
- Exceptions by cause and by system
- Time to detect and to fix
- New causes worth a runbook
- Whether a fix held
It Investigates With Read Access and Fixes Only What Is Marked Safe
Most of what this agent does is reading: comparing what was sent with what arrived and collecting the evidence. It changes nothing in your systems of record. A retry happens only for steps your runbook marks as safe to repeat, with the original key so that it cannot create a duplicate.
When the cause is unknown, it says so and routes the case with the evidence. It does not guess a fix.
- Read access to systems of record
- Retries only where marked safe
- Idempotent, so no duplicates
- Unknown causes called unknown
- Fixes routed to the owning team
- A record of every exception
Where It Connects
The systems named here are the kind this agent works with. Which ones it connects to in your case is settled in the scope.
Integration platform
- Your middleware, queues or automation tool
Systems of record
- The systems on each side of the handoff
Logs
- Application and integration logs
Runbooks
- Known failure patterns and their fixes
Ticketing
- Where fixes are routed
Ownership map
- Which team owns which step
Asked Before the First Call
Monitoring tells you a system is down. This agent finds the quieter failures where everything is up and one record did not arrive, then does the first hour of investigation: gathering evidence from both sides and matching it to a known cause.
Incident response handles a declared outage with people in a call. This agent handles the steady trickle of individual failed records and handoffs, most of which never become an incident. A cluster of exceptions may be what triggers one.
No. It routes the fix to the team that owns the data, with the evidence. It can re-send a record through a step your runbook marks as safe to repeat. Editing business records stays with the people responsible for them.
Not as software yet. This page describes a proposed workflow. It would reuse the action log that every one of our demonstrations keeps, in which each system call is recorded with its result and retries, and the handover with context. Reading other systems' logs, matching exceptions to known causes and routing fixes are not built. A project starts by mapping your process, then proving the first steps on test data before anything touches a live system.
Pick One Handoff That Fails Quietly
Most companies have one everyone knows about. We will compare what was sent with what arrived over a month and count the difference.
